As the Timetabling Officer, you will be responsible for producing accurate and timely university timetables. Your focus will be on creating a student-centred timetable that efficiently utilises university resources and facilities and provides accurate and correct information. This will involve implementing effective systems and processes to ensure timetables meet faculty requirements, provide an excellent student experience, and are clearly communicated. You will be the primary point of contact for your assigned school regarding all timetable-related queries. By building strong relationships with faculty and staff, you will become a trusted resource for their resourcing needs, developing expertise in space and resource management for their school and programs.

Responsible to: Senior Registry Officer – Senior Timetabling Resource Manager

Responsible for: The Health and Social Care Professions School and their timetable needs. Alongside any other urgent timetable and BNU estate-related support for The University, its schools and BNU colleagues.
|

Job Purpose: To ensure the production of a timely and accurate University timetable, ensuring it is student-focused and uses the estate efficiently. This will be completed by implementing systems and processes to ensure that timetables meet the requirements of the faculties/schools, provide a good student experience and are well communicated. The post holder will work primarily in High Wycombe, and if ever required, at agreed times at other BNU sites. This role contributes to the successful delivery of the service provided by the schools towards student engagement and taught delivery. The post holder will be required to use their initiative, build rapport with the school, and increase their knowledge base, of the school, to ensure the student experience is a positive one.

Main Duties & Responsibilities of the role:
Act as a School Business Partner to work with key staff in faculties to ensure that all University Courses are efficiently timetabled and within timescales agreed.
- Lead and advise on the timetabling activity in the schools to enhance the student experience.
- To maintain regular and effective communication with all key staff in the Schools and Directorates with regard to the production of efficient timetables and ensure they are aware of all dates, deadlines and other important information.
- To prioritise work on a daily basis and to plan according to the academic cycles/calendar.
- To be responsible for co-ordinating timetabling data collection and to ensure data integrity.
- To configure and interpret the data, involving a detailed knowledge of academic requirements across departments.
- To be responsible for the allocation of rooms to teaching events and for making efficient use of the teaching space.
- To undertake student and curriculum imports to the timetabling system.
- To undertake central timetabling activities such as confirming ad-hoc booking, clash-checking, auto-scheduling and student allocations.
- To have a proactive approach to problem-solving and to use initiative and creativity to resolve conflicts and teaching space allocation issues.
- To ensure that access to timetable information is available in a variety of media to key stakeholders.
- To provide personalised student timetables to enhance the student experience.
- To provide reports and timetables as required.
- To extract and analyse data from the student information system to obtain information for timetabling and room allocation purposes and to identify redundant/excessive room bookings.
- To log and monitor change requests, queries, complaints and any problems caused as a result of these.
- To challenge those with redundant bookings or using bad practice with block bookings.
- To challenge those who do not comply with the timetabling processes, procedures and deadlines and to attend meetings as required.
- Any other reasonable duties as required by the Integrated Digital Services Support Lead.
