We are looking for a proactive and detail-oriented individual to join our supportive team, as a Senior Registry Administrator within the Policy and Casework team, providing high-quality administrative and operational support for academic-related student casework and programme setup. With a particular focus on the Academic Misconduct process, this role requires confident use of digital tools, sound judgement, and the ability to prioritise effectively in a dynamic environment.

Job Title:  Senior Registry Administrator (Regulations, Policy and Casework)

Job Purpose: 

The post holder will provide professional administrative and operational support for academic-related student casework and programme setup, with a key focus on the Academic Misconduct process. They will proactively identify opportunities to improve processes, resolve issues independently, and contribute to a culture of continuous improvement. The role requires confident use of digital tools, strong collaboration across teams, and a commitment to inclusivity within the university community.

 

 

Main Duties & Responsibilities of the Role:

Student Casework

  • Provide high-level administrative support for academic-related student casework, including academic misconduct, appeals, and fitness to practise.

  • Coordinate, schedule, and support hearings and panels in line with University timelines, taking initiative to resolve scheduling conflicts and ensure smooth operations.

  • Prepare, collate, and distribute documentation for hearings, panels, and reviews, ensuring accuracy and confidentiality.

  • Provide administrative support for casework panels: take accurate minutes, update forms, redact documents as needed, and ensure outcomes are properly recorded and communicated.

  • Draft and issue outcome letters and template correspondence to students and stakeholders, adapting templates where necessary to reflect case-specific nuances.

  • Maintain internal trackers and casework records to support accurate reporting and compliance with University policies and timelines.

  • Proactively identify and resolve routine issues in casework processes, escalating complex matters appropriately.

  • Maintain and regularly update the University’s casework webpages and internal intranet (BEN).

  • Use feedback from students and staff to suggest and implement improvements to documentation, scheduling, and communication.
  • Support less experienced colleagues by sharing expertise and offering informal coaching on casework procedures.

  • Programme Setup Collaboration, Governance and Continuous Improvement

  • Manage the end-to-end setup and maintenance of programmes, routes, and modules in the University’s student record system (QLx), ensuring data accuracy and timely completion.

  • Process programme approvals, amendments, suspensions, and closures in line with institutional and regulatory requirements.

  • Conduct regular data quality checks and maintain and monitor a schedule of housekeeping tasks for the setup team to ensure the integrity of curriculum data.

  • Diagnose and resolve data inconsistencies, liaising with colleagues to ensure shared understanding of requirements and standards.

  • Recommend and implement improvements to programme setup workflows and documentation practices.

  • Oversee the maintenance of definitive documentation and shared records for the academic portfolio, ensuring version control and accessibility.

  • Work collaboratively with academic and professional services colleagues to ensure timely and effective case progression and programme setup, in line with University regulations, governance processes, and statutory requirements.

  • Represent the team in cross-departmental meetings, working groups, and governance forums, contributing specialist knowledge of academic regulations, programme approval procedures, and student casework policy.

  • Ensure that all processes and documentation comply with relevant legislation, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, UKVI requirements for international programme setup, and the Equality Act 2010.

  • Maintain awareness of sector developments, internal policy changes, and legislative updates, applying new knowledge to improve service delivery and ensure alignment with institutional and legal standards.

  • Take initiative in identifying training needs and pursuing professional development opportunities, particularly in areas related to academic governance, regulatory compliance, and digital systems.

  • Contribute to a positive team culture by supporting colleagues, sharing best practice, and promoting inclusive and student-focused approaches.

  • Undertake other duties, either temporarily or on a continuing basis, as reasonably required.

  • Duties may be carried out across different University sites as needed.
