We are seeking a dedicated Registry Officer temporarily to join our Quality Assurance team to cover maternity leave. The successful candidate will handle complex administrative duties and support Academic Schools and Partners in Quality Assurance activities. This role is crucial in maintaining and enhancing the quality culture within BNU, ensuring compliance with the University’s quality assurance standards and regulatory frameworks.

 

Key Responsibilities:

  • Support the external examining process.
  • Advise academic staff on appointment processes and paperwork.
  • Maintain the University’s list of external examiners and track applications.
  • General support to the team's wider activities.

Job Title:  Registry Officer (Quality Assurance) - Maternity Cover (six months)

Job Purpose:  

The postholder is responsible for undertaking a wide range of complex administrative duties and for providing support for Academic Schools and Partners in relation to Quality Assurance activities.

 They will work in partnership with a range of colleagues and stakeholders - including Academic Schools and the Directorates of Strategic Planning, Marketing and Student Recruitment, and Student Success - to deliver professional and adaptive quality assurance activities. They will support a ‘quality culture’ within BNU and help to ensure correct application and compliance with the University’s quality assurance standards, sector regulatory frameworks and registration requirements.  They will document quality assurance activities with internal reporting and auditing of materials and will identify enhancements to existing processes. They will also identify and attend to the training needs of key stakeholders to ensure understanding of and compliance with requirements.

The purpose of the job description is to indicate the general level of responsibility:  the duties may vary from time to time without changing the general character or level of responsibility.

The postholder will practice an inclusive approach and support building an inclusive university community where people can be themselves.

 

 

Main Duties & Responsibilities of the role:

1. To plan, organise and deliver quality assurance processes, and develop a comprehensive understanding of such, to ensure accuracy and compliance with the University’s quality assurance framework. Key areas of expertise and responsibilities include:

  • External Examining, including appointment, induction, training and reporting;
  • End Point Assessment (EPA) for Degree Apprenticeship programmes;
  • Organisation of programme approval, amendment, suspension and closure processes;
  • External Accreditation and tracking of PSRB compliance;
  • Organisation of annual programme monitoring and enhancement processes;
  • Servicing of periodic subject review events;
  • Servicing and updating of internal and external quality webpages / intranet content.

 

2. To maintain auditable records of allocated processes, identify good practice and areas for enhancement, and prepare annual reports as required.

3. To identify, evaluate, select and prepare supporting documentation and materials to underpin quality assurance processes and activities.  Collate, manipulate, and analyse information and draw conclusions to support decision making.

4. To build and maintain effective working relationships with key staff in Academic Schools, other professional service areas, including where necessary with partner organisations, and Students’ Union representatives.

5. To reflect on and evaluate the operation of quality assurance processes and contribute to the Academic Registry in designing and developing new ideas, systems and techniques in relation to the delivery of the quality assurance remit, managing resources effectively around strategic responsibilities.

6. To be responsible for effective communication of changes with all stakeholders (students, staff and externals including partners, external examiners and sector bodies / PSRBs) through a variety of channels and media.

7. To respond to the sector’s move towards greater regulation and associated risk of non-compliance by monitoring outputs from the Office for Students (OfS), the Designated Quality Body (DQB), the Quality Assurance Agency (QAA), Advance HE and other relevant bodies (e.g. in relation to OfS Conditions of Registration, Subject Benchmark Statements, the Frameworks for Higher Education Qualifications [FHEQ], PSRB Standards of Proficiency, and the UK Quality Code), updating relevant processes as required to ensure continued alignment.

8. To provide specialist advice and guidance relating to quality assurance matters, resolving more complex problems or queries that have been escalated or referred, and making decisions without the need for management oversight, whilst maintaining service standards within a dynamic and changing environment.

9. To act as Secretary to panels, hearings, approval events, working groups and other ad hoc meetings as required.

10. To respond to relevant freedom of information and data subject access requests.

11. Additionally, the post holder will be expected to support the wider activities of the Academic Registry and University, including:

  • Assisting with Registry-wide events, such as the University's Graduation Ceremonies or Enrolment/Registration etc, undertaking specific tasks as required.
  • To be actively engaged with internal working groups and to proactively implement agreed process changes within the University.
  • Adopting and demonstrating behaviours aligned to the University's values.
  • To keep abreast of sector development and best practice and undertake CPD as relevant to the role
  • There may be a requirement for these duties to be carried out across different sites within the University.

 

12. Comply with relevant legislative and other requirements (e.g., the Data Protection Act 2018 and GDPR; Health and Safety; UKVI; and Equality and Diversity) in all working practices
