The post holder will provide administrative support for the Practice Learning Hub team.  The Practice Learning Hub (PLH) leads the delivery of a centralised approach to the support and operational services of practice-learning in health and social care-related education and training.  An important part of this role will involve the implementation of our new online practice assessment system (ePAD).   Applicants should have good general education to GCSE standard and should be motivated, well organised and able to work independently and as part of a team. They should have excellent communication skills and proven ability to use Microsoft Office with database management. Experience of customer service and/or dealing with the public, administration skills and problem solving skills are essential for this role.

 

The purpose of the job description is to indicate the general level of responsibility: the duties may vary from time to time without changing their general character or level of responsibility. While working in a particular area of responsibility, the postholder should be prepared to provide support to other areas as and when required.

Job Title:  Practice Learning Hub Administrator 

Faculty/Directorate:  Institute of Health and Social Care

Hours:   Full Time Fixed Term Contract

Responsible to:    Associate Professor Placements and Work Based Learning

 

Job Purpose:

 

To provide administrative support for the Practice learning Hub.

 

To lead in the implementation of the electronic practice learning assessment document (ePAD)

 

The post holder will be required to support the delivery of effective and efficient academic administration in the Practice learning Hub. They must be flexible and efficient in delivering support as required.

 

 

Main Duties & Responsibilities of the role:

 

  • To provide excellent placements administration within the Practice Learning Hub.
  • To lead in the implementation of the ePAD for health and social care programmes. This will include onboarding learners onto the system, liaising with key stakeholders to develop and implement the ePAD system, resolving ePAD queries and providing ePAD guidance documentation for learners/partners and other key stakeholders.   
  • To produce quarterly reports in relation to the ePAD monitoring and reporting processes for the health and social care programmes.
  • To organise learner mandatory training across health and social care programmes ensuring that all learners have been enrolled onto mandatory training and their records have been updated on the nPlace system for monitoring.
  • To be the main point of contact for the Practice Learning Hub by answering and responding to all placements enquiries by telephone and email in a courteous and efficient manner and record on the universities systems and/or signpost to the relevant person/team when relevant.
  • To respond to student queries with the aim of resolving where possible or signposting to the relevant person/team.
  • Undertake office duties including filing, photocopying, collating data, uploading the information to placement systems such as In Place , working with databases and spreadsheets.
  • Undertake general office reception duties dealing with enquiries in an efficient and courteous manner.
  • Develop, maintain and co-ordinate the data input of healthcare students.
  • To organise and prioritise own workload to ensure it is completed in the agreed timeframe and to the required standard.

 

  • To support the team’s activities by undertaking reasonable duties that are within the scope of the level of the role as directed by their line manager or equivalent.

 

  • To build effective working relationships with others to complete the duties assigned to the internship placement.

 

  • To work effectively with  Registry, Academics and students; and to be proactive in resolving queries related to students, resuming and withdrawing students.

 

  • To  have effective  communication and maintain links with Business Partners, Clinical Managers, Supervisors / Assessors, Academic staff, Administrative staff and Students in relation to clinical placements via written correspondence, telephone, email or in person.

 

  • Comply with the Data Protection Act 2018 and GDPR; Health and Safety; and Equality and Diversity

      requirements and legislation in all working practices.

 

  • To undertake any other reasonable duties deemed necessary by the Practice Learning lead or School Registrar (Practice Learning Hub), including assisting other administrative areas as required.
